Position Summary:

The Office Manager is a key role in the organizational functions of the Bravo! Vail Music Festival. This person directs the physical operations of the office and plays an important role by providing critical support to all departments. This is a full-time year-round, in person position. There is not a remote option for this role, though limited telework may be considered during certain times of year.

Essential Functions:

General Customer Service/Front Desk

  • Serves as “Face of Bravo! Vail”; greets guests at front desk of office.

Answers all incoming calls and either transfers to voicemail or takes accurate messages when employee is out. When employee is in, person calling should be identified according to employee’s desires and as accurately as possible.

Manages all of Bravo! Vails’s generic incoming email accounts and responds to all messages in a timely and professional manner.

Provides assistance to all office visitors including providing information, taking ticket orders, and assisting with accepting donations.

Maintains professional office appearance, etiquette, and decorum.

Has strong knowledge and/or ready reference of festival schedule and programs in order to answer questions efficiently and accurately.

Replies to inquires through any channel in a timely manner including but not limited to providing emailed or mailed materials.

General Office Management

Office Tidiness and Upkeep: Each individual is responsible for their own cleanup and a professional cleaning service is employed weekly; however, the Office Manager is responsible for the overall neatness and order of the office, including keeping common areas neat and tidy. Duties include but are not limited to:

Keeping conference room in order, including setting/clearing according to meeting needs;

Taking out recycling, trash and compost

Maintaining kitchen – daily tidiness, stocking/restocking of snacks, coffee and tea

Organizing/maintain tidiness community workspaces

Organizing/maintaining/restocking communal storage supply areas

Restocking bathrooms

Coordinating and performing office maintenance as needed with appropriate vendors

Open and close the office daily (lock/unlock doors, check lights, etc.)

Management/distribution of incoming and returned mail

Assists with all in-office bulk mailings (printing, assembly)

Track food and beverage credit

Order/restock office supplies

Manage stationary ordering needs / timeline for each fiscal year

Manage postage meter

Ink and other supplies

Postage refills

System updates

Manage copier

Troubleshoot technical issues / arrange for service

Order toner and other consumables

Back end maintenance (updating contacts, tracking usage, etc.)

Onboarding of New Staff

Train all new staff on:

Copier/postage machines

Office systems protocols (recycling, compost, etc)

 Phone system usage

Finance Department Assistance

Manage Accounts Payable

Create new and edit vendors in accounting system

Process Invoices

Process and send checks/payments in a timely manner

Log checks received into check log

Prepare deposits and deposit at the bank


Box Office Assistance

  • Assist Box Office with in-person and phone ticket orders when needed
  • Printing and mailing of tickets and passes


Board Liaison Assistance

Assist Board Liaison with coordinating meeting materials from other departments for Board and Committee meetings as needed

Assist with room set up

Serve as greeter/welcome station at meetings as needed

Other duties as assigned


Skills and Experience:

Minimum of 2 years’ work experience in customer service and/or office management.

Must have excellent computer skills with proficiency in Microsoft Office Suite and Outlook · Experience with CRM databases is a plus

Superior organizational skills are required

Authorization to work in the U.S. is a precondition of employment

 

Compensation:

Hourly $20 - $25
