Habitat for Humanity Vail Valley (HFHVV) is seeking a talented professional to serve as its Office Coordinator in support of its mission to partner with local families to build strength, stability and self-reliance through shelter.


The primary objectives of the Office Coordinator position are to provide administrative support for Habitat Staff, Board of Directors and departmental committees, manage payroll processing, and general office administration. The Office Coordinator works closely with other staff and assists the team as needed to ensure accomplishment of the goals and mission of the organization.

 

Job Duties

HR Administration

Manage Payroll process

Onboarding assistance

Work with HR to process medical leave

 

Board/Committee Administration

Maintain up-to-date staff, Board, Finance, Executive and other committee contact lists and calendars

Take and publish minutes of Board meetings

Prepare and distribute meeting packets for Board and Executive meetings; assist Accountant with Finance meeting packets

Assist in preparation of new Board member handbooks


General Office Administration

Facilitate office hours coverage and communication internally and to the public

Pick up and distribute all mail. Facilitate any mailings for staff

Point of contact for Phone System changes

Liaison with the ERPC contact

Maintain the kitchen area as needed

Maintain and order office supplies and equipment (Work with point of contacts at other locations for office supplies and equipment when necessary)

Maintain proper affiliate insurance – General Liability, Auto, and Cyber – work with necessary departments to ensure proper coverage

File required documentation – Certificate of Registration Renewal/Periodic Reports (for Stratton Flats and Affiliate), SOS Renewal of Charitable Organization – annually to maintain Good Standing with the Colorado Secretary of State

File property tax exemptions annually for current and newly acquired properties annually

Prepare Quarterly Affiliate Statistical Reports and Annual Quality Assurance Check list for HFHI

File Audited Financials, 990, Insurance Certificates, Worker’s Compensation Certificate, Current Board Member lists, and any other documents needed to HFHI Document Retention Center

File Annual Sam.gov compliance registration renewal


Required Competencies

  • Flexibility to adjust to new tasks should office needs change
  • Leadership ability to manage challenges and employee/office needs
  • Strong attention to detail to ensure tasks are completed thoroughly and correctly
  • Applicants must have a high school diploma, college degree preferred
  • Applicants must have a valid driver’s license and reliable transportation

 

Preferred competencies: 

  • Experience working in an office environment
  • Problem-solving and basic troubleshooting skills
  • Basic computer skills, familiarity with Microsoft Office, email, basic excel spreadsheets
  • Previous non-profit experience
  • Demonstrated planning and organizational skills

  

Compensation & Benefits 

This is a full-time (30 hours per week), salaried exempt position based at our affiliate office in Avon, CO. The pro-rated salary range is $40,260 - $50,325 per year (based on a 30 hour work week).  Initial compensation is determined based on the successful applicant’s qualifications and experience. Benefits offered include health insurance, HSA with employer contribution, life insurance, retirement plan with 6% employer match, up to 6 weeks of vacation, holiday, and sick time, paid medical leave and more.
