SUMMARY

The Vail Valley Partnership seeks a highly organized, motivated, and detail-oriented professional to serve our thriving local business community by providing valuable experiences for our members, memorable customer service to visitors, and wide-ranging support for our team. This position is responsible for planning, executing, and supporting VVP events and programs, acting as a resource for guests and visitors, and ensuring the office environment is efficient, effective, and welcoming. This position supports the work of the entire VVP team and enjoys endless opportunities to connect with our membership base of 750+ local businesses.


This is a part-time position with a results-oriented, flexible work environment that reports to the Director of Programs. Most events are scheduled during business hours, but management, support, and attendance for some evening and/or early morning events is required.

Vail Valley Partnership (VVP) is the regional chamber of commerce, dedicated to the economic vitality of the Vail Valley. The Vail Valley Partnership oversees the following brands: Vail Valley Partnership, Visit Vail Valley, Vail Valley Works, Vail Valley Means Business, CareerWise Eagle County and EGE Air Alliance. The member services manager position supports programs and initiatives across all brands.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Core duties and responsibilities include the following. Other duties may be assigned.


1) Event Planning & Implementation – Members consistently rank networking events as one of the primary reasons they join or renew with the VVP. This position will be responsible for developing, implementing, and supporting a wide variety of events throughout the year. Most events are scheduled during business hours, but management and support of some evening and/or early morning events is required.  Event duties include, but are not limited to:

  • Management Of: After Hours Mixers, Annual Success Awards Celebration, Inside Edge Educational Series, Hospitality Days. New events are developed on an as-needed basis.
  • Support For: Events led by other members of the team, such as Vail Valley Works Professional Development Courses, NonProfit Network, CareerWise Youth Apprenticeships, and additional industry and community-wide events.
  • Assisting with website and calendar updates for all events, and some content creation (depending on experience).

2) Program Management – Programs continuously add value to our membership and keep our members engaged with the Vail Valley Partnership and community at large. This position is responsible for the management, administration, and support of ongoing programs. Program duties include, but are not limited to:

  • Management Of: Merchant Ski Pass Program, EGE Air Alliance Local’s Flight Rebate Program, Member Discount Programs. New programs are developed on an as-needed basis.
  • Support For: Programs led by other members of the team, such as Leads Groups, One Valley Healthcare Program, and others as needed.
  • Assisting with website and calendar updates for all programs, and some content creation (depending on experience).

3) Visitor & Guest Services – Our economy is driven by tourism and VVP is the hub for visitor information and travel planning. We are often the first experience for guests and groups when planning a trip, so we strive for the highest-quality experience. Guest service duties include, but are not limited to:

  • Management of general information inbox and voicemail.
  • Responding to visitor inquiries with local recommendations, resources, and contacts.
  • Assisting with website and calendar updates, and some content creation (depending on experience).

4) Office Management – The office needs to run as smoothly and efficiently as possible to best serve our members, guests, and team. This position is responsible for the day-to-day essentials that support the team and create a welcoming environment for our members & guests. Office management duties include, but are not limited to:

  • Database/website management and updates.
  • Administrative management of incoming/outgoing mail, bank deposits, office supply orders, and maintenance needs.
  • Management of conference room calendar & bookings.
  • Ensuring the office is comfortable and welcoming for members and guests.

QUALIFICATIONS

  • 2+ years of experience preferred in event and/or program management, office management, administrative coordination, or related field.
  • Strong organizational and time management skills.
  • Ability to multitask in a fast-paced environment with shifting priorities.
  • Comfortable working with technology (i.e. - Microsoft Office, Adobe, database software, Wordpress websites, event platforms, etc.).

The ideal candidate will be a detail-oriented professional who has exceptional organizational and time management skills. They should have strong written and verbal communication skills, with a customer service-oriented mindset. They should be a self-motivated individual who can work independently but also can collaborate with a team.


Preference will be given to candidates with deep knowledge of the Eagle River Valley.

Preference will also be given to bi-lingual candidates fluent in both English and Spanish.

WORK ENVIRONMENT

Vail Valley Partnership has a ROWE (results-oriented work environment) meaning the emphasis shifts from how and when work is done to the results delivered. ROWE allows for flexibility along multiple dimensions by permitting workers to choose when, where, and for how long they work, as long as they are sufficiently productive and achieve target goals, while still maintaining organizational office administrative support. ROWE will begin for the Member Services Manager position after an appropriate training and onboarding period.
