Position Summary:

The Development Events Manager’s primary responsibilities include the successful leadership, planning, and execution of all Bravo! Vail development events, both during the summer Festival season and throughout the calendar year. These events include but are not limited to: development benefit events such as receptions and dinners, soirées, and special fundraising events. This is a full-time year-round, in person position.


Success for this position will be defined by:

The Development Events Manager is also responsible for assisting the Development Department year-round on all fundraising efforts including mailings, research, proposals, donor fulfillment, records management, and other tasks as needed.


Essential Functions:

  • Manage event logistics, which includes all planning, set up, execution, and follow up, of:
  • All development events. Quantity and type may vary and evolve on an annual basis and may include special fundraising events. At least 20 development events are held each season.
  • The Linda and Mitch Hart Soirée Series. At least 4 soirées are held each season.
  • Other events as assigned
  • Serve as Event Lead for all applicable events – includes:
  • Secure venues, manage contracts, set up events in Tessitura, create invitation lists, oversee invitation distribution, manage RSVP list, communicate with vendors, execute events onsite, complete event follow-up and payment.
  • Create detailed timelines for each event and share with relevant staff in advance of event. Prepare hosts, staff, and musicians for their roles and responsibilities at events.
  • Negotiate annual in-kind support from event-related sponsors, such as caterers, florists, venues, and other vendors as needed. Ensure in-kind support is accurately tracked and donor benefits are fulfilled to in-kind sponsors.
  • Assist with annual online auction.
  • Create and manage event budgets to ensure financial goals are met.
  • Acquire needed Special Event Permits for all organizational events. 
  • Create and maintain master events schedule in ArtsVision and Outlook.
  • Participate in hiring and management of seasonal interns. Oversee management of event responsibilities for seasonal interns.
  • Build ongoing relationships with event attendees and vendors. Work with Development team to provide cultivation and stewardship and identify attendees and vendors who are prospects for deeper engagement with Bravo! Vail.
  • Work effectively with diverse constituencies and stakeholders including donors, board members, staff, vendors, musicians, and volunteers.
  • Provide leadership and support for additional organizational events as requested throughout the year, including but not limited to quarterly Board meetings and staff/volunteer appreciation events.
  • Represent Bravo! Vail at concerts, fundraising and stewardship events, and to other organizations when required.


Overall Functions:

  • Assist with special projects, tasks, and administrative items as assigned.
  • Participate in all Development Department fundraising activities.
  • Attend all relevant events and performances during the Festival season and throughout the year.


Skills and Experience:

Minimum of 2 years of event planning experience, or equivalent experience

Professional, enthusiastic, and positive attitude even in high-pressure situations

Excellent communication skills, both written and verbal

Extremely well-organized, with strong attention to detail and ability to meet deadlines

Ability to work evenings and weekends as needed, particularly during the summer festival season but at additional times throughout the calendar year as needed

Ability to work well in a team environment with a variety of people and personalities

  • Ability to problem solve and take initiative

Ability to effectively engage a wide range of constituents and build long-term relationships

Proficient in Microsoft Office Suite of products (Word, Excel, Power Point, Teams, etc.)

Experience using fundraising and CRM software systems is preferred, or willingness to learn Tessitura preferred but not required

Interest in classical music and/or the performing arts desirable

Authorization to work in the U.S. is a precondition of employment


 

Compensation:

$55,000-$65,000 annual salary
